MONTHLY MEETING MINUTES
June 12, 2006
The following were in attendance; Steve Klostermann, Pat Kreher, Betty Henze, Lori Wahl, Jenny Gillespie, Deb Stratmann, Mike Huelsmann.
The meeting was called to order by Steve Klostermann at 7:35 p.m.
Last months minutes were approved.
Communications were read including a note from Crystal Gruenfelder from Community Link informing us of her leaving that facility. She assured us that the person filling her position will hopefully continue the current relationship we now have with them.
Treasurers Report includes the attached reports to these minutes and these additional bills: Real Estate tax $419.82; Postage $72.54; Paint $21.99; Electric $83.10; Phone $28.88; Concessions $30.00; ?? $50.00 totaling $706.33. Betty stated that we received an $800.00 grant to be put towards the youth musical. She reported that membership money and Ad money is coming in fairly well. Communications Betty had included a request for an ad in the upcoming performance at the Cathedral in Belleville. Jenny Gillespie made a motion to put in an ad for $75.00 in their program, Mike Huelsmann seconded the motion, motion carried. Mike Huelsmann will take care of placing the ad with Cathedral. Betty then informed us of the receipts she has been getting from TBH lumber for the stage at the park. Expect an approximate bill of $1000.00 to be split across all 3 summer shows for the stage that is being built to cover the pit. It will be re-used over and over again so it is an investment.
Executive Directors report Steve Klostermann touched base on all the tabled issues from the past. They are now listed, but must be prioritized and worked on:
Mailing list Dustin is currently working on
Additional concession ideas (other than stuff to sell) other than food Steve is investigating all avenues and costs
Pro-rated season tickets offered throughout entire season membership person takes care of now
Costume trailer issues a date was set to organize 7/11-7/13 as possible dates, we will coordinate after the youth musical and with Lynne Huelsmann
Upgrading lights professional person to come and bid, need more than one bid lights, dimmer packs, everything, plan on very expensive
Painting exterior of theater COMPLETELY SCRATCHED
Building renovation need to move forward actually talk to the banks for financing, talk to architect for possible plans.
Epoxy painting the outdoor stage yes, but low priority at end of this summer season
Wooden dance floor for outdoor stage yes, bur with proper storage possibilities right at the park due to the rain issues.
City upgrading box at park to prevent future power surges Steve will speak with the city.
Theatre roof leaks Roger to check on this and see about a patch or repair?
Damaged neons Betty will find past bill and call to have same company as last time come and fix. She will have them quote some prices for more lights behind all the letter lines not just the middle.
Tech seminars Rachel continually working in these
Furnace for theatre dont really need a furnace, just need to move the thermostats to proper places.
Inter-theatre play reading analysis committee Rachel working on this.
Outdoor seats Redo our current seats? Buy new? Steve will get with Legion to see if they will help with new coverings. Maybe 12 to 24 a year or so get re-done.
All shows need a producer YES, Steve will make sure that Rachel as Production chair speaks with all the directors in regards to this.

Production Report Rachel not in attendance. No report
Production Support Deb Stratmann reported that we need to empty the current trailer out at Strat-o-span, then need to refill it with lights and sound equipment and transport it to the park for the youth musical. The dates for this to happen are Sat June 24. We are then setting up everything at the park on Tuesday, June 27. All board members are encouraged to help in anyway they can on these very important dates. The more people the less time it takes.
Box Office/Newsletter Jennifer Gillespie asked for Box office committee help and ideas to help her get started. Newsletter submission deadline is 6/26/06 to Jennifer.
Publicity Mike Huelsmann reported Ads were coming in well, only a few not heard from and he would be making those follow-up phone calls. We have plenty of season flyers so please hand them out to everyone. Lots of black and white. Not as many color. Feel free to contact anyone you want to place an ad.

Next meeting will be July 10, 2006 at 7:30 pm
Steve will write the letters to Clinton County Rural Health Clinic, and the Organizations for scholarship donations, Rachel will take care of the applications to deserving individuals.
Pat Kreher moved to adjourn, with a 2nd from Betty Henze, motion carried, meeting adjourned at 8:50 pm
