BOARD OF DIRECTORS
MONTHLY MEETING MINUTES
July 25, 2007
The following were in attendance; Dustin McSparin, Betty Henze, Lori Wahl, Deb
Stratmann, Jen Gillespie, Rachel Luebbers, Greg Streetman, Glenn Saltamachia .
The meeting was called to order by Dustin McSparin at 7:30 p.m.
SECRETARY?S REPORT - Last months minutes were reviewed Glenn Saltamachia made a
motion to accept the minutes as written, Betty Henze seconded the motion all
were in favor motion passed.
Communications received were some scholarships that were reviewed by all.
TREASURER?S REPORT ? Betty Henze passed out the written report ( in attachments
). Discussion in regards to the Special lighting purchase for $280.00 currently
on the production equipment? Betty explained that was for special lighting for
West Side Story, she will move that to that shows expense.Additional bills not
already included in the attached report are as follows: $30 gas for truck,
$1200.00 for truck rental for 2 more months. Discussion ensued in regards to the
rental of the truck. Greg Streetman made a motion to keep renting the truck for
the next 2 months, with a 2nd from Lori Wahl, more discussion ensued, Dustin
called for the vote with Dustin-yes, Lori-yes, Greg-yes, Glen-no, Betty-abstain,
Jenny G-abstain, Deb-abstain, Rachel-abstain, 4 abstain, 1 no and 3 yes, motion
passed to keep renting the truck. Betty then made a motion that the truck rental
be applied to evenly between the 3 summer shows with a second by Rachel, Dustin
called for the vote with 6 in favor and 2 against, motion passed. $1497.00
programs to Trenton Sun, $1066.00 Insurance due in August, totaling $ 3793.00 in
additional bills. Dustin made a motion to pay the bills as presented, Jenny G.
seconded, all in favor motion passed.
Betty then explained that she received a call from First Bank, they were making
some changes to their checking accounts and wanted to see if we were interested
in the changes. We were currently receiving a little bit of interest on our
account, with on service fees, however, changes were coming that were going to
place fees on the current account, so Betty changed the account to a business
account, no interest, no fees and that will be our ?working? checking account.
But the bulk of the money will be in a money market account to earn 1%, and
initially in the first few months of signing up it will earn up to 4% initially.
She is signing up for online banking, to ease her banking from Highland, so
anytime she needs to she can move funds from money market to working checking.
NO hassle, no fees etc.
Betty reports additional income from Season tickets $586.00 .
PRODUCTION COMMITTEE - Lori Wahl gave a wrap-up report on Bye Bye Birdie,
basically all was fine, she hopes to brain storm and get more parental help for
the upcoming years.
Rachel reports that West Side Story needs some tech crew help, their tech day is
Sun 7/29/07 at 3:00 pm . Deb is in need of usher/concession help.
Rachel reports that Oliver cast has 65 people and all is going well.
PRODUCTION SUPPORT ? Deb Stratmann reported that Lucky Dog Family Reunion has
asked for a donation item for their auction 8/19/07 ? all approved ? Lori to let
Steve know to print certificate.
Betty asked for Kirchenfest, Highland donation ? all approved normal donation,
same as last year, which is 2 tickets for each show starting with the September
show through the end of the season.
Deb reports that the Bad Boys will arrive Aug 1 to put up chairs at the park.
July 31, 7:00pm the board will meet to put up tents and choose scholarship
recipients.
We will have Excel coolers again for concessions
BUILDING RENOVATION ? Deb reported that Matt Athmer has not returned her phone
call, she will try other contractors, possibly Alan Litteken Financing was
brought up. Both banks are good, waiting for contractor issue, building
committee needs to meet and get with contractor and then get back with the
board.
PUBLICITY - Jenny Gillespie reports that things are all right but some things
are needed for the program from West Side Story, she gives them a date deadline
and the deadlines aren?t being met. She will continue to push.
Ads are in the papers. The 5 leads are going to be on Show Me St Louis, and the
Carlyle Radio Station WCXO.
BOX OFFICE/NEWSLETTER ? Greg Streetman reports that Jill and Paul Klostermann
wrote the newsletter and will proof it from the Trenton Sun, should be in the
mail with the tickets for the next 2 shows on Friday. Box office will need help
for West Side Story as Greg is in the show. Betty will handle General Admission,
please volunteer if available.
An individual called Lynne Huelsmann complaining that her messages were going
unresponded and would like her money back, Greg will find the membership info,
Deb knows her and will call her.
Betty suggests that by next year the board rethink it?s stand on the youth
musical as being part of the season or not, too much confusion to the patrons,
one little box to check with no extra money, they don?t know if they have them
or not and they all think they have them, and she suggests that we think about
season prices early in the year because people start buying season tickets as
gifts early. If we are going to make changes we think about it early.
Glen S. made a motion to keep show prices the same for the 08-09 season $9/$7
senior/student $5.00 youth show Season ticket $36.00 THE SEASON TO NOT INCLUDE
THE YOUTH MUSICAL. Dustin seconded the motion, vote was called all in favor,
motion passed.
MEMBERSHIP ? Glen S. reported 3 new people signed up during the youth musical.
Dustin M. reminded us about scholarship choosing on the evening of the 31st and
the tents set-up, also we will talk about plans for the Merchant night to
promote our Master Plan for the building. Ideas? Food? Preparations? It will be
Sept 6, 2007, Thur opening night of Oliver, we will offer appetizers, beverages,
desserts, share the master plan, show sponsorships, see Oliver. Glen S will work
on the invitation letter.
Constitution Amendment meeting scheduled for 8/15/07 7pm at the theatre.
