BOARD OF DIRECTORS
MONTHLY MEETING MINUTES



October 24, 2007



The following were in attendance; Board officers Lori Wahl, Betty Henze, Deb Stratmann, Rachel Luebbers, Greg Streetman, Glenn Saltamachia, Dustin McSparin and Jennifer Gillespie; Guests included Braden Henze. Mike Huelsmann late.

Meeting called to order at 7:30 by Dustin McSparin.

Secretary Report
Glenn Saltamachia motioned to accept the minutes from the previous meeting as written, Jennifer Gillespie seconded the motion, all in favor, motion carried. Lori stated that she sent a thank you note to the Clinton County Quilters for their donation.

Treasurers Report
Betty handed out the attached written report. Additional bills include: $123.16 to Deb Stratmann for concessions; $54.19 to Dustin McSparin for set supplies for “Scary Stories”; totaling $177.35.
Greg Streetman made a motion to accept her report and pay the bills with a second by Jennifer Gillespie, motion carried.

Additional income included $350.00 from Trenton Sun Ad and $20.00 cash donation.

Betty than explained that a bill from MTI was received in regards to non-returned Libretto books from West Side Story. Also, then $189.50 cast party food expense was brought up again. Discussion ensued. It was determined that an invoice would be prepared showing the non-approved expenses and non-returned libretto books, and a letter composed; both to the Director suggesting she get the cast to return the said books. Dustin M. will contact the Director with information of responsibility.

Building Renovation Report
Glenn Saltamachia reported that at the last building meeting Alan Litteken and Rob Lippert were both in attendance, a great discussion ensued, and all differences were addressed and answered. Alan confirmed that his bid is for what needs to be done. Rob defended what was designed. Alan was asked point blank will he build what we eventually put before him…He responded, yes, he will work for us, with what we want. His bid is the most, even if in the end it was more, we would not be charged more.

Next step is financing, we need to look at City Help? Grants? City, County, Arts? Nov 7 we will meet with the Mayor and his grant people. 7pm.

Progress is being made; finances must be in place before we sign the builder’s contract.

Constitution Committee
Dustin would like to see a meeting set for the proposed constitution changes before the Dec meeting. He will get with Steve.

Production Committee
Rachel Luebbers reports that “Scary Stories” seems to be going well and asked the directors to speak. Dustin stated that the 3 one act plays is a great idea, but would rethink the 1 night rehearsal per week if he had to do it over again. Just not enough time to gel together as a group. Greg S. also spoke as a director, he also thinks the 3 one act plays are great but would like to see more coordinating between directors than there was, maybe more of an active on site producer to pull all three together.

Glenn S. then reported on “Nuncrackers”, auditions were held and the show was cast, music rehearsals are going well, need tech help if anyone is interested.

Rachel then reported that she will be prepared to set the dates for next year’s season at the Nov meeting.

Production Support
Deb Stratmann asks if she should have an exterminator come to spray and take care of mice? Yes.

Follow-up on dimmers? Braden has them working now. At close of “Scary Stories” Mike Huelsmann may need to send the bad ones off for repair.

Lights need to be looked at before the next show, may need bulbs.

Mike Huelsmann announced that the Christmas Chorale will be held at St Bernard’s in Albers this year on Dec 30 at 2 pm.

This years after Thanksgiving, Christmas parade to bring Santa to town and light the Christmas lights will be held on Sat Nov 24 at 6pm. Glenn S. will check with his cast to see if they want to participate or not.

Membership

Glenn Saltamachia reports that he did a comparison against the database that Greg Streetman had and the program and found some discrepancies. All are fixed and the names will appear correct in the program for “Scary Stories”

Dustin suggests that when replacing our season flyers around the community you also put up the upcoming show flyer to promote the current show.

Publicity 

Jennifer Gillespie said she has a request for something for a silent auction for a “Benefit for Guy Webb” Dustin made a motion to send 2 tickets to the Dec show, Betty 2nd Motion passed

Jenny also stated that Hard Road contacted her and would like to swap ad space with us for their “Nunsense” show and our “Nuncrackers” show. Go ahead and swap.

Box Office/Newsletter
Greg Streetman reports all is going fairly well, he has had calls for groups that want to come to “Nuncrackers”. He is not sure what the group rate is…? $1.00 off the ticket of 15 or more people. He also needed clarification on wheelchair access…front row, 3 on each side.

Building
Greg Kuper not in attendance no report.


Fund Raising – Dustin reported that Lynn McSparin would like to volunteer to head up an auction as a fund raiser. Possibly in conjunction with a Trivia night? Looking at Mar/Apr.? Yes, run with it.

Deb Stratmann stated that the Red Hat Ladies are always interested in dinner before they come to the show, possibility of dinner theatre before “Nuncrackers” one night? Fundraiser?

Stipulate the $ would go to the building and we might be able to bring more in.
