MONTHLY MEETING MINUTES

The following were in attendance; Steve Klostermann, Betty Henze, Jenny Gillespie, Deb Stratmann, Greg Kuper, Greg Streetman and Rachel Luebbers.
Glenn Saltamachia was in rehearsal and in an out of the meeting
Lori Wahl was in Rehearsal and could not attend. (Mike Huelsmann took Notes in her absence)
Dustin McSparin was not in attendance
Members and Guests Included; Mike Huelsmann, Charlie Huelsmann, Corey Knapp,”Doc” Reitz, and Hank Crider

The meeting was called to order by Steve Klostermann at 7:30 p.m.

Last months minutes were approved with a motion by Rachel Luebbers and a second by Greg Streetman. – Passed.

The Executive director suggested giving two sets of two tickets to St. Johns for a Raffle per a request. No opposition was voiced- it was approved.

Treasurer’s Report was given by Betty Henze includes the attached reports to these minutes and these additional bills: $24.26 to Ace Hardware, $214.67 to Glenn Saltamachia both for Nuncrackers Expenses & $80.05 to Deb Stratmann for gift basket stuff for the Hats of for Hanna donation. Motion made to accept by Glenn S. Second by JG – Passed.

Correspondence; Two thank you notes in the mail were read. A request was for a donation to P.A.W.S. for two sets of season Tickets for a fund raiser – No opposition was voiced – it was approved.

Betty explained a mix-up in billing from Action Graphics in Columbia. It was taken care of.

Assistant Exec Director – Dustin sent in with Steve some Financial expenses and budget that he had mapped out to show where we could improve in both lowering expenses and increasing revenue, as well as a better way to split up the pie, and he provided a Financial Goals and Objectives sheet. Steve passed them around. Dustin also requests that anyone with Fundraising ideas please send him an e-mail.

Executive Directors report was given; a brief rap upon the Better Business Bureau meeting on fund raising that Steve attended was given. Steve Passed around a hand out that he obtained that day.

Production Committee Report – Glenn S. gave a status report on Nuncrackers. All is going well (now that Musicians have been found). He will be well within Budget.

Rachel Reported That Streetcar Auditions are Saturday @ 1PM.
The Christmas Choral preparation is getting underway – JG has put a notice in the papers, Deb will send out a notice to the local Churches and Leah will mail a notice to the choral directors.

The Dates for the 2007-2008 Season were discussed and passed as follows;

September 4-7 September Show
October 17-19 & 24-26 October Show
December 5-7 & 12-14 Christmas show

February 6-8 & 13-15 February Show
March 27-29 & April 3-5 Spring Show

Production Support – Deb Stratmann wanted to make sure Mike Schutte was in the program as had tickets, he got missed somehow in June.

There was discussion as to what to donate to the Historical society; $1000 from the organization or Purchase a Brick. A motion was made to purchase a $250.00 brick to be placed into the memorial. Motion made by Greg K. and seconded by Glenn S. - Motion Passed.

Deb reported on what we had donated to the hats of for Hanna Benefit. She is looking for ushers for Nuncrackers.

Publicity – JG had no real report other than she fixed the changes in the program.

Discussion was made as to whether or not we were spending enough on advertisements. If we needed to pull more from outside the county. It was suggested that the committee look into advertising in the Centralia Sentinel and the budget be raised to $500 and all of it used. I was also suggested that the Website contain an e-mail blast request to send out show and Audition notices.

Box Office/Newsletter – Greg is starting to get calls for Nuncrackers. He got 1 Gift certificate request so far. The Next Newsletter will go out After Nuncrackers.

Membership – Glenn S. Had nothing to report.

Building – Greg Kuper had nothing to report.

Bldg Renovation – Lots of talk on financing the renovation. Talked of was to Budget for the coming years to make sure payments would be made. Suggested that Betty give the bank reports from years back when we were paying on our first loan. Mike Huelsmann talked in length on how we got to where we are; with lots of donated labor, not paying for it. It was suggested that the committee go back to the bank with a $70,000 request to see if those payments would be feasible. Then take $35,000 out of the general fund and the board come up with enough people to make up the difference of $15,000 in sweat equity.


New Business – Doc Reitz and Corey Knapp presented a request to use the Theater for the Clinton County Songwriters Guild to perform a night of original songs concert. It was accepted to do as a fund raiser for the building with a projected date of the Friday before Godspell Opens March 28, 2007. Mike Huelsmann will produce on the showcase side. More reports to come in the coming months.

Hank Crider reminded everyone again of Auditions for Streetcar and was looking for an assistant for the day. Chris Streetman was volunteered by his father.

Next meeting will be Dec 26, 2007 at 7:30 pm

Greg Kuper moved to adjourn, with a 2nd from JG, motion carried, meeting adjourned around 8:45 pm
