BOARD OF DIRECTORS
MONTHLY MEETING MINUTES
January 23, 2008
The following were in attendance; Board officers Steve Klostermann, Lori Wahl,
Betty Henze, Deb Stratmann, Rachel Luebbers, Jennifer Gillespie, and Glenn
Saltamachia. Charlie Huelsmann was also in attendance as a guest. Meeting called
to order at 7:30 by Steve Klostermann.
Secretary Report
Glenn Saltamachia motioned to accept the minutes from the previous meeting as
written, Rachel Luebbers seconded the motion, all in favor, motion carried.
Communications received included a thank you note from St. John’s UCC, Breese
for our donation to their Christmas raffle. A Request for a donation from the
Trenton Chamber for their dinner/dance auction was received. All approved to
donate 4 tickets for the next 2 shows. A request will probably be coming from
the Highland chamber also; we will donate 4 tickets for the next 2 shows.
Assistant Executive Director Report
A written report was presented by Steve on behalf of Dustin McSparin. “The
building committee met January 2nd to discuss the renovation of the building. At
that meeting it was decided that we are wishing to go forward with the project.
We will be taking out a loan from the bank for the amount of $60,000. We will
need additional funds set aside to make up the remainder of the planned
renovation. The building committee is asking the board to approve $40,000 to be
set aside for the first phase of the renovation. The building committee is also
asking that all revenues that are brought into showcase, with the exception of a
$25,000 operating cost, be earmarked for loan payments and/or further building
enhancements. We will hear a bid from Litteken construction and will entertain a
vote on advancing the project at this board meeting” A motion was made by Betty
Henze to accept the building committee proposal and move foreword with the
figures mentioned above. Lori Wahl seconded the motion. Much discussion ensued.
This is needed to go forth with everything; we can’t expect people to donate
without us showing we have started. A vote was called and motioned carried.
Treasurers Report
Betty handed out the attached written report. Additional bills include: $221.09
to Steve Klostermann for props for “Streetcar”; $76.55 to Deb Stratmann for
paper towels and concessions; totaling $297.64.
Additional income included $1158.00. $250.00 from Dustin McSparin for funds from
his employer Wal-Mart for his time working for showcase, an anonymous donation
of $800.00 which will be matched later from Monsanto, a donation from Carson
Hempen and miscellaneous donations from the Christmas choral. Wow! Thanks to
all. This will certainly progress the building along.
Betty also explained that we received a refund from Tams Witmark totaling
$358.25. Betty and Rachel will go through the itemized report to determine what
shows they belong to. Betty informed us that she is still working with Robert
Schmidt Costumes and Lynn Venhaus and the unpaid costume bill. She will keep us
informed.
Executive Director Report
Steve handed out a “Spheres” of activities in relation to the re-working of the
Constitution. He wants all of us to know that the committee is still working on
the possible changes and how things can be improved to make “Showcase” work
smoother.
Production Committee
Rachel Luebbers had Jennifer Gillespie, the Production Manager for “Streetcar”
report. Jenny states that the director, Hank Crider, tells her that the set is
85% complete and all is going well.
Rachel reminds all that applications for next season are due to her by Feb 20th
and the Production planning meeting is Feb 24th at 2pm at the Avon Theater.
Rachel received an email from “Blend” and acapella group that does 50/60 duop.
Are we interested in booking them for a concert as a fund raiser? Steve will
investigate.
Production Support
Deb Stratmann reports that the Hampel’s contacted her in regards to them
performing. Hot Dog Matinee? Fundraiser? We will also investigate this.
Deb states that she will take care of the park board and softball league for our
summer dates at the park.
Please let Deb know when you can usher/concession/house captain for “Streetcar”
Membership
Glenn Saltamachia reports that we have membership.
Publicity
Jennifer Gillespie reports that we have flyers for the current
show please take and distribute. 300 programs have been ordered. She is
wondering if the normal ads should be done or should she ad some. We should get
a power point to the Breese local channel 10. Tim Schleper handles that. No to
the additional ads, just press releases. But discussion ensued, to have the
publicity committee look into a year around rate for ads as opposed to a per ad
rate. That way we can have something about showcase in every paper. That way if
we do start having concerts, or we just keep our progress of the building, or
audition notices or remember to buy your membership or season tickets, whatever.
It will always be in the paper.

Greg Streetman not in attendance no report
Building
Greg Kuper not in attendance no report.
New Business
Charlie Huelsmann is asking if the International Agricultural Association
Students could possibly use our theatre or outdoor stage in May of 2008. They
will be in the US this year and have an Arts section that they need a venue to
perform. It may be acting, dance, singing anything. Charlie is asking if it is
ok with the board. Charlie’s nephew is part of the association. The board gave
approval.
Lori Wahl asked if it was ok if she gave a tour of the theatre to a Girl Scout
troop. Board approved.
