BOARD OF DIRECTORS
MONTHLY MEETING MINUTES



February 27, 2008

The following were in attendance; Board officers Steve Klostermann, Lori Wahl, Betty Henze, Dustin McSparin, Deb Stratmann, Rachel Luebbers, Jennifer Gillespie, and Glenn Saltamachia, Greg Kuper, and Greg Streetman. Charlie Huelsmann was also in attendance as a guest. Meeting called to order at 7:30 by Steve Klostermann.

Secretary Report
Dustin McSparin motioned to accept the minutes from the previous meeting as written, Jennifer Gillespie seconded the motion, all in favor, motion carried. There were no Communications.

Treasurers Report

Betty handed out the attached written report. She will be cashing in the CD to prepare for the building expense. She also stated that the Monsanto matching funds paperwork as been received and filled out and returned. Additional bills include: $16.44 Foppe Ace Hardware; $74.84 Lynne Huelsmann, Godspell Costume; totaling $91.31.

Betty announced that the Maxine Bruegge scholarship plaques are complete and await hanging in the lobby.

Building Renovation Report

Steve reported the following: “I want to give everyone a somewhat detailed report on the latest info on building renovations. I met with Jason and Alan Litteken about 2+ weeks ago. They gave the theater one last once-over before they tear it up. Although in prior discussions with Charlie and other affected parties we thought it would be OK to begin before the close of Godspell, Alan suggested otherwise for a few reasons…1) All seats in the side sections will need to be moved before they can begin; folding chairs would be a feasible workaround, but compounded with…2) the lights and light bars need to come down, this would cause real issues for Godspell, as well as safety concerns for our audiences. Greg Kuper added a 3rd reason as well: no contractor likes doing a complete and total cleanup of their entire mess at the end of each day. This takes extra time (and costs us more money). Heard back from Glenn, Rachel and Lori all agreeing we ought to start renovation project as soon as Godspell ends (Litteken to begin 4/14/08)”

After report given discussion ensued. Ok to start on 4/14? We need to pull seats, remove lights and light bars, suggest pull all park items for the summer be put in one area to be ready to load and go. After discussion, it was decide we need 3 days after Godspell closes to tear down the show and the theater. We will shoot for Wed 4/16/08.

What about the Tin Roof? It may be worth something, do we need to watch how it is torn down and salvage to sell?

We need to start planning now for helpers, for tools etc. The more we can do will reduce Litteken’s time and expense.

Summer shows…we must find alternate audition and rehearsal spots. The board ( as producers ) will assist the Production Managers and Directors of the 3 summer shows in securing these places.

The trailer will be spruced up and pulled to the park for the summer use. It needs a paint job and a new tire for starters.

The Gala will need to be scheduled for another venue. Barb Vonalst has graciously volunteered the Ambulance building and Beyond the Garden Gate.

Steve is planning some FORUMS or brain storming sessions on 2 themes in the near future. 1 will be on Public Relations currently scheduled for 3/11/08 at 7pm and the second on Fundraising scheduled on 3/30/08 7pm.

Old Business
Steve attempted to contact Blend and no response from them.

Deb has info from Hampel Circus – will report on the 11th.

Merchant’s night – will go to the forums.

Remember the Clinton County Songwriters Guild performance Friday 3/28/08. We will need to be here to sell General Admission Tickets, Concessions and 50/50. Betty will bring cash.

Production Committee
Rachel Luebbers had Charlie Huelsmann, Director of Godspell report on the progress of that production. Charlie reports that things are going wonderful; all songs will be learned by tonight, all blocking finished by the end of the week. We have a really talented cast.

Rachel reported that the Production committee met and is please to present the 08-09 proposed season to the board of directors for their approval.

August Musical – Disney’s “Beauty and the Beast” – Jill Klostermann
September - “Twelve Angry Men” – Dustin McSparin
October – “Rehearsal for Murder” – Rob Otrembiak
December – “The Best Christmas Pageant Ever” – Donna Goetz
February – “Assassins” – Leah Klostermann
March/April – “Rumors” – Hank Crider

Glenn Saltamachia motioned to approve the season, with a second by Greg Kuper, all in favor, motion approved.

Rachel reported that the date for the Gala will be April 27 at 2pm.

Discussion then ensued in regards to the Easter chorale. Glenn Saltamachia made a motion to not sponsor the Easter chorale this year, Dustin McSparin seconded the motion. More discussion, all in favor motion passed.


Production Support
Deb Stratmann reported that Central and Mater Dei through Lori Wahl and Jennifer Klostermann are both borrowing some of costume pieces for their respective shows.

Membership
Glenn Saltamachia reports that we have 1 new membership for next year and 10 season tickets thus far.

Publicity

Jennifer Gillespie reports that now that the next season has been chosen, she would like to get the season brochure started. This will be looked at during the forum meeting on the 11th.

Advertising for Godspell will be with the usual papers. She will also hit all church bulletins, the messenger and catholic times.

Box Office/Newsletter
Greg Streetman reported that he and Glenn will get together to start a mailer for membership drive.

Building
Greg Kuper received the list from the clipboard of needed items at the theater. He will attempt to get the accomplished before the Songwriters event and Godspell.
