REGULAR MONTHLY
MEETING MINUTES

September 23rd, 2009

The following were in attendance; Board Officers Dustin McSparin, Lauren Fuehne, Jill Klostermann, Paul Klosterman, Mike Huelsmann, Pat Kreher, Charlie Huelsmann, Lois Kellermann and Deanna Ratermann. Also in attendance were Lori Wahl, James Kellermann, Deb Stratman, Jennifer Klostermann, Adam Klostermann, Cale Loddeke, and Adam Broeckling.


Adoption of Agenda
Meeting was called to order at 7:30 by Executive Director Dustin McSparin
Stack Chairs added to New Business
Charlie Hueslmann makes a motion to accept the agenda
Second by Paul Klostermann
All in favor, motion carried

Approval of Minutes
In the minutes, August 5th needs changed to September 5th.
Mike Huelsmann makes a motion to accept the minutes

Reports of Officers

Executive Director – Dustin McSparin
-Lobby Upgrade/Building Update
- Pat gave an update on building projects recently finished and still ongoing
- Summer Season Overview/Challenge
- went over the wrap-up of the summer season and took a look at goals for the outdoor shows next season
- Letter of condolence to Dave Jansen

Asst. Executive Director – Jill Klostermann
- Report was given

Secretary Report - Angie Hammel
- Report was given

Treasurer Report – Lauren Fuehne
- Box Office totals for Joseph and the Amazing Technicolor Dreamcoat were given out. They total $4,697.00. Profit came to $1892.00.
- There was discussion on parade funds in terms of budget
- Paul Klostermann made a motion to table budget discussion.
- Motion second by Lauren Fuehne
- One opposed, motion carried
- Balance on hand as of the end of August = $34,620.30
- Total Income = $12,872.59
- Total Expenses = $11,692.85
- Balance on hand as of September 23rd = $35,800.04

Reports of Committees
Production Committee – Paul Klostermann
- Adam Broeckling gave Footloose report
- Charlie Huelsmann gave a Tech report
- Short Circuit donated a 24 channel board
- Mike Huelsmann reported on Everybody Loves Opal
- The cast is in need of props for set
- October 1st Deadline for Director’s Applications

Publicity Committee – Lois Kellermann
- Advertising for Everybody Loves Opal is underway
- Online Calendar is still in the works
- Gave a breakdown of publicity process

House Management Committee – Mike Huelsmann
- Discussed house management duties and changes for indoor season.

Fundraising Committee – Jill Klostermann
- No report

New Business
- Stack Chairs
- Mike Huelsmann made a motion that the board authorize the budgeted purchase of 24 stacking chairs, to closely match the new permanent seats inside the Avon, and to be here prior to the first show of the indoor season. The purchase of which is not to exceed $3,000 or $125 each.

- All in favor, motion carried
- Special Committees
- Jill Klostermann made a motion to form a storage and logistics committee consisting of Pat Kreher, Charlie Huelsmann, Jennifer Klostermann, Lauren Fuehne, and Jill Klostermann as chair.
- Second by Paul Klostermann
- One opposed, motion carried
- Jill Klostermann made a motion to form a building expansion committee consisting of Steve Klostermann, Roger Rolves, Angie Hammel, Pat Krehrer and Jill Klostermann as chair.
- Second by Lauren Fuehne
- All in favor, motion carried
- Deanna Ratermann discussed October 10th Jaycees event

Next meeting October 28th at 7:30pm

Clinton County Showcase is a non-profit community arts group (Breese, Illinois) dedicated to promoting art, music, and theatre events. Our goal is to provide a creative artistic outlet for our youth as well as adults. To that end we have established the following Scholarships to be presented annually.
