REGULAR MONTHLY

MEETING MINUTES

 

October 28th, 2009

 

The following were in attendance; Board Officers Dustin McSparin, Lauren Fuehne, Jill Klostermann, Angie Hammel, Paul Klosterman, Mike Huelsmann, Charlie Huelsmann, Lois Kellermann and Deanna Ratermann, Rob Otrembiak. Also in attendance were Lori Wahl, James Kellermann and Adam Broeckling. 

 

Adoption of Agenda

Meeting was called to order at 7:30 by Executive Director Dustin McSparin

Jill Klostermann makes a motion to accept the agenda

Second by Mike Huelsmann

All in favor, motion carried

 Approval of Minutes

Mike Huelsmann makes a motion to accept the minutes

Second by Rob Otrembiak

All in favor, motion carried

 

Reports of Officers

         Executive Director – Dustin McSparin

-Goals Update/SOPs

      - Discussed lobby improvements

- Standard Operating Procedures list should be made for every board position, this topic will be discussed more throughout the year

- Committee Meetings/Members

- Member lists have been sent out

- Have to keep mandates, must have one meeting per quarter     

- Discussed Professionalism

 

          Asst. Executive Director – Jill Klostermann

- External Education

      - Dustin gave a tour to the Trenton Ladies group and Lori gave one to the Boy Scouts

- Will have more information on AdHoc committees

           

            Secretary Report - Angie Hammel

              - Flowers were sent to the family of Viola Becker

                  - Received correspondence from Kathleen Moran regarding Everybody Loves Opal

                       

            Treasurer Report – Lauren Fuehne

- Lauren Fuehne made a motion to move the Safe Deposit Box to Germantown Trust and Savings Bank

- Motion second by Paul Klostermann

- All in favor, motion carried

- Balance on hand as of the end of September = $35,800.04

- Total Income = $1,013.05

- Total Expenses = $4,088.73

- Balance on hand as of the end of October = $32,724.36

 Reports of Committees

     Production Committee – Paul Klostermann

     - Show Selection Committee

            - Paul shared the list of shows

                        - July: Willy Wonka and the Chocolate Factory

                        - August: Wizard of Oz

                        - September: Romeo & Juliet

                        - October: Bump Off Barnaby

                        - December: A Christmas Story

                        - February: To Kill a Mockingbird

                        - April: 25th Annual Putnam County Spelling Bee

      - Opal Wrap-Up

            - No report

 

      Publicity Committee – Lois Kellermann

     - Proofs for next two show posters were shown

      - Discussed when to replace posters

 House Management Committee – Mike Huelsmann

- Had a quick meeting

- Thanked the cleaning crew for coming in before Opal

- Next meeting will be in December

- Discussed the CCRC recycling program in Breese

- Sign-up for Christmas Carol house managers is available

- Bills have been sent out for programs

 

Fundraising Committee – Jill Klostermann

- Next meeting will be November 10th at 7:30pm

 

 Unfinished Business

- Exceeding a budget

      -The PM must be board approved

- Discussed the budget and what is for the show and what is considered capital improvements

- Until the budget is changed it is $1000 for outside and $500 for inside and if you think you are going to go over you need to ask for more.

- Stack Chairs Update

- Chairs are on order. They will have no arms and have a cover that matches the installed seats

      - Bought from American Seating

      - Will be shipped on November 3rd

      - Total came to $2,691.35

     

New Business

- Payment on Loan

      - Mike Huelsmann made a motion to make a payment on the loan.

      -Second by Paul Klostermann

      - All in favor, motion carried

- Charlie Huelsmann made a motion to donate the $50 rental fee back to Mater Dei, that they gave for set pieces.

      - Second by Mike Huelsmann

      - All in favor, motion carried

-  Charlie Huelsmann made a motion to donate the $50 rental fee to CCRC for rental of wireless body mic. Being the CCRC is a non-profit organization.

      - Second by Paul Klostermann

      - All in favor, motion carried

 

- Jill Klostermann made a motion to have a plaque for F.O.A. made in memory of Dave Jansen to reflect memorial money we received from his friends and family.

      - Second by Paul Klostermann

      - All in favor, motion carried

- Rob Otrembiak donated a series of books entitled “Ten Basic Responsibilities on Non-Profit Boards to CCS for any committee members to use and read.

 

         

          Next meeting November 18th at 7:30pm

Clinton County Showcase is a non-profit community arts group (Breese, Illinois) dedicated to promoting art, music, and theatre events. Our goal is to provide a creative artistic outlet for our youth as well as adults. To that end we have established the following Scholarships to be presented annually.
