CLINTON COUNTY SHOWCASE
REGULAR MONTHLY
MEETING MINUTES

December 16, 2009

The following were in attendance; Board Officers Dustin McSparin, Jill Klostermann, Angie Hammel, Lauren Fuehne, Paul Klostermann, Charlie Huelsmann, Deanna Ratermann, Rob Otrembiak and Pat Krehrer. Also in attendance were Lori Wahl, Rob Pershing, Adam Klostermann, Donna Goetz, Hank Crider, Tom Stewart, Leah Klostermann, Cale Loddeke and Adam Broeckling.


Adoption of Agenda
Meeting called to order at 7:30 by Assistant Executive Director Dustin McSparin
Addition to Agenda: Add Lori Wahl to Fundraising Committee Report
Motion to accept the agenda
Second by Rob Otrembiak
All in favor, motion carried

Approval of Minutes
Change the date of the December meeting to the 16th
Motion to accept the minutes made by Charlie Huelsmann
Second by Paul Klostermann
All in favor, motion carried

Reports of Officers

Executive Director –Dustin Mc Sparin
- Discussed Goals for the Board
- Discussed how we are doing on the budget so far this year. A budget index was given to board members. We are on track so far and still have room to grow.
Asst. Executive Director – Jill Klostermann
- Ad Hoc committees
-Building Expansion Committee
- No report
-Logistics and Storage Committee
-had a meeting and decided that the current storage needs more cleaning and pitching
- the committee recommends that we get out of our current storage unit because it is not in our name. They also recommend bringing the topic of the donated curtains to the fore front and what we want to do with them instead of just storing them. Also discussed future storage needs once the building expansion takes place.
-Jill Klostermann makes a motion to dissolve the Logistics and Storage Committee
-Second by Lauren Fuehne

- Held another tour of the theater for the Girl Scouts

Secretary Report - Angie Hammel
- Newsletter
- Correspondence

Treasurer Report – Lauren Fuehne
- Moved over the $10,000 from checking to loan
- Balance on hand as of the end of November = $34,895.42
- Total Income = $6,376.79
- Total Expenses = $12,781.76
- Balance on hand as of the end of December = $28,490.45

Reports of Committees
Production Committee – Paul Klostermann
- A Christmas Carol Report
- Donna talked to the board about Cheaper by the Dozen auditions
- Charlie talked about having a work day in January if the weather is nice
- Charlie will also hold a tech day to show new people how the equipment works

Publicity Committee – Lois Kellermann
- Rob Otrembiak read the report due to Lois’ absence
- Everything is 90% to send out for Cheaper By the Dozen. The press release is written, just need a cast list from the director.
- Production committee did not meet this month

House Management Committee – Mike Huelsmann
- No report

Fundraising Committee – Jill Klostermann
- Had two meetings
- June 12th has been cleared by the city council for the Anniversary Event, which still needs a title
- Also discussed the auction which will be held at All Saints Academy
- Second meeting was about the budget. There will probably be a meeting to discuss this every month until a budget is figured out.
- Jill hands the floor to Lori Wahl
- The decorating committee presented a quilt donated to Showcase by Clinton Quilters and would like it to hang on the back wall of the theater.


Unfinished Business
- Appointment and Approval of Treasurer
- Thanks to Lauren for a job well done
- Dustin recommends Rob Otrembiak for the position of Treasurer
- All in favor, motion carried
- Dustin appoints Hank Crider to the position of Production Management Director
- All in favor, motion carried
- Appointment and Approval of House Management Director
- Thanks to Mike for a job well done
- Dustin recommends Rob Pershing for the position of House Management Director
- All in favor, motion carried


New Business
- Pat Krehrer makes three motions
- Motion 1: Motion to consider to remove the paint cans at the back of the theater
- Second by Paul Klostermann
- All in favor, motion carried
- Motion 2: Motion to have the carpets cleaned
- Second by Rob Otrembiak
- All in favor, motion carried
- Motion 3: Motion to consider waste disposal service for the theater
- Second by Paul Klostermann
- One opposed, motion carried
- Paul Klostermann makes a motion
- made a motion to amend a previous motion regarding a $1000 spending authority that can be spent without board approval, to $300.
- Second by Rob Otrembiak
- All in favor, motion carried

Our goal is to provide a creative artistic outlet for our youth as well as adults. To that end we have established the following Scholarships to be presented annually.
